East Rowan/Erwin Band Boosters

Meeting:  March 6, 2012

 

The meeting was called to order by Tommie Cato.

 

The Secretary’s report from the prior meeting of February 7, 2012 was presented.  A motion was made, seconded and approved to accept the report. 

 

The Treasurer’s report from the prior meeting of February 7, 2012 was presented.  A motion was made, seconded and approved to accept the report.

 

 

ERWIN BAND: (Mrs. Ferguson)

State Festival will be held for 8th graders at Wingate University on March 15th.

 

All County Band went well and the Jazz Band is going well.

 

Jennifer Shirling, a student at Pfeiffer College is continuing to assist the students and will be helping with the Jazz Band.

 

Information for all upcoming band trips for all three grades have been discussed and forms given out.

 

An Erwin scholarship fund is being discussed to help assist students who are unable to pay band fees or attend the band trips.

 

EAST ROWAN BAND: (Miss Davis)

Thirteen students from East Rowan High School made All County Band.  The concert was held on February 28th at Carson High School.

 

Upcoming Events:

March 7th - Dr. John Ross from Appalachian University will be at East Rowan to work with the bands.

 

March 10th – A car wash will be held at the Auto Zone in Rockwell from 9:00 a.m. to 2:00 p.m.  The cost will be $5.00 per car or a donation.

 

March 13th – Pre-Festival Concert at ERHS at 7:30 p.m.

 

March 21st – State Festival to be held at North Lincoln High School in Lincolnton.  Students will leave immediately after school.  Their performance will be around 6:15 p.m.

 

 

 

 

The Worlds’ Finest Chocolate sale is going well.

 

Several possible trips are being explored at this time.  More information will be given at a later date.

 

Discussion was held regarding the possibility of new band uniforms.  The approximate cost for 85 uniforms is $38,962.98.  It was suggested that several other companies be contacted for their uniform design and pricing for comparison.  The possibility of a grant from the Robertson Foundation to help with the expense is being investigated.

 

OTHER BUSINESS:

Band patches are being ordered through The Thread Shed.

 

A motion was made to approve The By-Laws committee which consists of Brenda Byrd, Cam Ritchie, Wendy Safrit and Bonnie West.  Said motion was seconded and approved.  A meeting will be scheduled within the next few weeks.

 

The Annual Meeting will be held on April 24, 2012 with the voting of new officers.  All officers will begin their duties at the May 15, 2012 meeting.

East Rowan/Erwin Band Boosters

Meeting:  February 7, 2012

 

The meeting was called to order by Tommie Cato.

The Secretary’s report from the prior meeting of January 10, 2012 was presented.  A motion was made, seconded and approved to accept the report. 

The Treasurer’s report from the prior meeting of January 10, 2012 was presented.  A motion was made, seconded and approved to accept the report with a change to move the sum of $2,600.00 from the general account to concert band account.

ERWIN BAND: (Mrs. Ferguson)

A meeting was held on February 2, 2012 regarding the three upcoming trips.  At this time all information was discussed and forms distributed to parents.

All County Band clinic will have practices after school.

A Jazz Band for 6th-8th graders is being formed.  The first practice will be on February 8th.

Jennifer Shirling, a student at Pfeiffer College is continuing to assist the students and will be helping with the Jazz Band.

 

EAST ROWAN BAND: (Miss Davis)

All County auditions will be held on February 11th at North Rowan High School and All County Band Clinic will be held on February 24th and 25th at Carson High School.

The State Festival will be held March 20-March 23, 2012.

The Worlds’ Finest Chocolate sale will begin on February 13th.  The cost is $1.00 per bar and the band receives 50% profit.  This is a good way to receive funds for your student account.  More information will be given to the different bands by Miss Davis.

Several different designs were revealed for the possibility of new band uniforms for the East Rowan Marching Band.  The estimate for one band uniform is approximately $400.00.  Miss Davis will further research this possibility with other vendors for their designs and estimates.  Miss Davis is looking into using a portion of the money in the CD for the purchase of these uniforms and will check to see if there are any matching funds available from the county.  All matters will be brought before the band boosters before any decisions are made.

OTHER BUSINESS:

Patches for the Concert Band and Wind Ensemble will be ordered through The Thread Shed by an unanimous decision. 

The possibility of a trip to Carowinds is being reviewed.   More information will follow at the next meeting.

New ideas are welcomed for recruitment possibilities for the Erwin Band and East Band.

Any ideas for future fundraisers are welcomed.

New individuals are needed for the By-Laws Committee.  Those that have agreed to serve are Wendy Safrit, Bonnie West and Brenda Byrd.  Other names will be presented at the next meeting.

East Rowan/Erwin Band Boosters

Meeting:  January 10, 2012

 

The meeting was called to order by Tommie Cato.

The Treasurer’s report from the prior meeting of November 11, 2011 was presented.  A motion was made, seconded and approved to accept the report.

ERWIN BAND: (Mrs. Ferguson)

The Christmas band concert and Arts Café was combined.  It was a huge success and this may be done again in the spring.

The Pre-Festival concert is scheduled for February 16th but may be changed to the 23rd.  A clinician will be brought in to help with the music.  Further information will be sent to parents.

All County Band will be on February 24th and 25th at Carson High School.

A student teacher from Pfeiffer College will assist the students beginning next week.

A meeting will be held for the upcoming trips for 6th, 7th and 8th grade band students on February 2nd at 6:00 p.m. at Erwin Middle School.  More detailed information regarding the trips will be given at that time.

The Spring Concert is tentatively scheduled for May 17th.

 

EAST ROWAN MUSTANG REGIMENT: (Miss Davis)

The Marching Band Banquet was a huge success.  Miss Davis thanked all involved in the preparations.  A special thank you to Tommie Cato for cooking and catering the meal.

The Jazz Band played at the Veterans Administration Christmas Party.

All District auditions were held and Jordan Owen placed for 9th chair clarinet.

Three students will be auditioning for All District Jazz Band.

All County auditions will be held on February 11th at North Rowan High School.

A proposed budget of $975.00 was presented for the Jazz Band.  A motion was made, seconded and approved to accept the budget.

A proposed budget of $2,600.00 was presented for the Wind Ensemble and Concert Band.  A motion was made, seconded and approved to accept the budget.

OTHER BUSINESS:

A recommendation was made that the band patches be ordered directly from Herff-Jones instead of the Thread Shed as this might cut the costs.  It was noted that The Thread Shed had donated the letter jacket for a raffle this past year and we may want to look into which option would be best for the band.

Clay Honeycutt has been assisting with the marching band this year and has spent numerous hours each week and weekend during practice, football games and competitions.  He received a small county stipend; however, Miss Davis asked if he could be compensated with a monetary donation from the band account.  A motion was made, seconded and approved to give Mr. Honeycutt the sum of $300.00 for his assistance. 

Many other volunteers helped with the band this past year, especially with the trailers, equipment and driving buses.  Reimbursement was made for the costs of gas and it was reinforced for all volunteers to keep their future receipts for reimbursement.

Miss Davis has helped the band cut costs with obtaining her CDL this year.  It was suggested that a donation of $100.00 be given to Miss Davis for driving the bus this year; however, Miss Davis declined the donation and wanted it to stay in the band account.

The next band boosters meeting will be on February 7th at 6:30 p.m. in the East Rowan  Band room.

East Rowan/Erwin Band Boosters

Meeting:  November 1, 2011

 

The meeting was called to order by Tommie Cato.

The Secretary’s report from the prior meeting of October 4, 2011 was presented.  A motion was made, seconded and approved to accept the report. 

The Treasurer’s report from the prior meeting of October 4, 2011 was presented.  A motion was made, seconded and approved to accept the report.

FUND RAISING:

The fruit sale has ended.  Based on the figures at the present time we have a profit of $1,700.00 for Erwin Middle School and a profit of $850.00 for East Rowan High School.  It was noted that Victoria Wagner’s (former band student) father sold 57 cases of fruit.  The student profit from his sale will be given to a needy band student’s account.  Delivery of the fruit will be on December 1st and volunteers are needed for that day.

ERWIN BAND: (Mrs. Ferguson)

Students from the 8th grade band joined the East Rowan Mustang Regiment on Football Friday night.  They played “Big Blue” in the stand with the band and saw first hand what it was like to be in a marching band.  It is being considered to open this night up to the 7th grade band students also.

Approval has been given for the following trips:

8th grade band – Williamsburg, VA- March 30 & March 31st

7th grade band – Myrtle Beach, SC – April 27th

6th grade band – Carowinds – April 21st

All County auditions will be held on November 7th for 7th & 8th grade students.

Winter Concert to be held on December 8th

Plans are being made for the Arts Café.  All band students can play solo or with Mrs. Ferguson.  The Chorus Department and Art Department also participate in this event.  Date to be announced at a later time.

Band students may also be playing at the Anti-Bullying concert (date to be announced)

 

EAST ROWAN MUSTANG REGIMENT: (Miss Davis)

The Mustang Classic was a huge success.  The estimated profit at this time is over $5,000.00.  Several other vendors are to send in their money.  Several items that helped this year were donations from food providers,  fewer judges, less security and the refurbishing on old trophies.  It was suggested that we look into using Catawba College band students as judges in the future and also finding other sources for the trophies. Teresa Rufty (chairperson for the Mustang Classic) thanked everyone for all their help and participation.  A new chairperson will be needed next year as this is Mrs. Rufty’s last year with the band boosters.

The Letter Jacket raffle profited $378.00.  The letter jacket was donated by Dave Loflin from The Thread Shed and would like to do this again next year.  The winner of the raffle was Amy Cozart.

The East Rowan Mustang Regiment’s last competition was on October 29th.  They placed 2nd in percussion, 2nd in general effects and 3rd in Drum Major.

The band participated in the Livingstone Homecoming parade and earned $250.00. 

Upcoming Dates:

November 8th @ 7:00 p.m. – Fall Concert

November 11th – Veteran’s Day parade

November 15th – ROTC inspection program

November 23rd – Holiday Caravan parade

The Winter Concert will possibly be the last  week before Christmas break.

Plans are being made for the Christmas Party.  Tommie Cato will contact the Rescue Squad to see about using their building again this year.

There is no planned spring band trip.  Several options are being reviewed for the bands to perform in local areas.

The band room has a new ice machine with a total cost of $3,759.66.  SEER had agreed to pay for one-half of the cost of the machine.  SEER made the full payment for the ice machine and they need to be reimbursed for the band’s half.  A motion was made to take the amount of $1,879.83 from the profits of the Mustang Classic to pay SEER.  The motion was seconded and approved.

The Concert Band has a negative balance of $1,408.84 and needs to be replenished.  A motion was made to take the amount of $1,408.84 from the profits of the Mustang Classic to replenish this account.  Said motion was seconded and approved.

Clay Honeycutt has been assisting with the band this year.  Miss Davis asked if he could be compensated with a monetary donation.  It was also mentioned that the volunteers that helped with the trailers, etc…. during the football games and competitions be compensated.

A voluntary audit has been suggested for the band association.  This will be reviewed and discussed at a future meeting.

A committee to review the existing by-laws has been formed.  The four individuals for this committee will be Gina Starnes, Wendy Safrit, Kenneth Peeler and Ruth Jacobs. All proposed changes will be voted upon by the band boosters association.

OTHER BUSINESS:

A question was raised as to how the band meeting information was relayed to students and parents.  Miss Ferguson stated that it was in the band handbook that was given to her students at the beginning of the school year.  The parents signed a slip that they read the handbook and returned it to her.  All important dates are also listed on the website and ConnectED.  Miss Ferguson also stated that it was written on the board for the students.  Miss Davis also stated that it was listed on schoolnotes.com and that she also mentioned it to her students.  Wendy Safrit offered to send out post cards to all parents reminding them of upcoming meetings at her cost, if that would help.

All County Band auditions will be held in January or February.

The next band boosters meeting will be on January 10 at 6:30 p.m. in the East Rowan  Band room.

Two parades have been scheduled:  Veteran’s Day – November 11th and the Holiday Caravan – November 23rd.

All County Band auditions will be held in January or February.

The Mustang Classic will be held on October 8th.  A lot of volunteers are still needed to help in many areas.  A special meeting will be held on October 6th in the East Rowan band room for all those involved with the Mustang Classic, including volunteers.

The next band boosters meeting will be on November 1st, 2011 at 6:30 p.m. in the Erwin Band room.

FUND RAISING:

Fruit sale will be from September 16th thru October 1st.  The large boxes have increased in price by $1.00 and the smaller boxes by .70.  Last year a total of 490 boxes were sold between both schools and had a net profit of approximately $1900.00.  It was decided that we would not increase the cost of the fruit due to the economy.  Volunteers will be needed to help with the distribution of the fruit.  Mr. Wagoner will continue to see fruit this year and the proceeds from his sale will be used for band share fees for a student in need.

Letter Jacket Raffle – The Thread Shed is donating a letter jacket for us to sale.  Raffle tickets will be sold as 1 ticket for $2.00 and 3 tickets for $5.00.

Chocolate candy sale will be in February.

Other possible fundraisers- Scratch off donation cards, discount cards and another Jerry Garrison bag sale in the Spring.

**Note:  All student profits go into individual student accounts for band related expenses.  The money from the Erwin student accounts will transfer with them to East Rowan High School.  After graduation, the money remaining in that student’s accounts can be transferred to a sibling’s account.

ERWIN BAND: (Mrs. Ferguson)

Football Friday will be on September 23rd.  All 8th graders will sit with the East Rowan Mustang Regiment to see what it is like to be in Marching Band.  They will learn “Big Blue” and play it along with the band.

Nov. 7th & 8th – All County Honors Band auditions

January 7th & 8th – All District auditions

Christmas Concert in December – Date to be announced

EAST ROWAN MUSTANG REGIMENT: (Miss Davis)

Liz Crawford is writing the choreography for the color guard and will be receiving payment of $500.00.  There are two volunteers (Chelsie Retalic and Olivia Jones) from Catawba College also assisting with the colorguard.  Clai Honeycutt is assisting the Mustang Regiment this year.  The band receives three stipends from the county and would like to divide the money between Clai Honeycutt ($350.00) and Chelsie Retalic ($150.00) and Olivia Jones ($150.00).

Drumline instructor Steve Robinson worked with the drumline on September 10th

and was paid $150.00.

Miss Davis has received her CDL license.  This will help reduce some of the band expenses for the year.  She has also received her laptop computer.

Band patches for the prior year have arrived and will be provided to the proper students.  Patches will be mailed to the students that have graduated.

Miss Davis expressed appreciation to all the parents that have helped with the band so far this year.  Hunter Safrit and his grandmother were recognized for their help with the hemming and repairing of the band uniforms.

MUSTANG CLASSIC

Date:  October 8th

In the past Food Lion has given a grant of $5,000.00 for expenses.  Over the past year years they have donated the food and $2,000.00.  For last year (2010) they donated the food and printing of the programs.  This year they are only going to provide the printing for the programs. 

Seven bands have committed.  We are hoping for 10.

Livingstone College will come to perform but needs transportation which will require 3 bus drivers.

Mustang Classic ads – A total of $1100.00 has been sold for ads by 8 students.  Ads will be received until September 20th at noon and should be provided to Teresa Rufty. 

Food – Any help with donation of food is greatly needed.   It was stressed that if anyone had any connections or resources with a food vendor to please contact them for any possible donations.  Contact has been made with Debbie Suggs, Aldi, Cheerwine and Fleming Candy Company. 

Judges – Last year’s cost was $350.00.  Will try to reduce cost to $300.00 this year.

Trophies - $1600.00 was spent on trophies for last year.  Will see if any old trophies (not used) can be refurbished with new plates to help reduce the costs.

Programs – Programs printed by Food Lion.  Looking into possibility of charging $1.00 for programs.

Admission Fee - $7.00 per person

Custodian Fee - $130.00

Security –Tommie Cato to obtain 3-4 volunteers.  Will also obtain volunteers from Rockwell Rural Fire Department and EMS.

Emcee – Pastor Carl Haynes

Parking – Will need volunteers to help with parking.

Bake Sale – to be provided by Erwin students/parents

Volunteers – Volunteers are greatly needed on this day to help with all types of tasks (concessions, parking, admission, booths, set-up and take-down, etc….)  Tractors and trailers are also needed. 

Other Business:

A voluntary audit of the band funds/accounts will be made.

The By-Laws will be reviewed and possibly amended.  A committee will need to be formed for this.

The next band boosters meeting will be on October 4th, 2011 at 6:30 p.m. in the Erwin Band room.

East Rowan/Erwin Band Boosters

Meeting:  August 9, 2011

 

The meeting was called to order by Tommie Cato.

ERWIN BAND: (Mrs. Ferguson)

The proposed new budget for Erwin Band this year is $4,518.00.  The increase is due to toner and software expenses and added festival scores.  A motion was made to accept the budget, seconded and approved.

EAST ROWAN MUSTANG REGIMENT: (Miss Davis)

Liz Crawford (North Rowan) is a possible candidate to write the choreography for the color guard.  There is also a need for a drum line instructor.  The approximate cost for each would be $1,500.00.  A motion was made, seconded and approved to move forward with Liz Crawford to help with the choreography.  Searches will continue for a drum line instructor and others to help with color guard instruction and choreography program.

August 18th will be a fund raising time for students.  They are to go to local businesses to request assistance with fund raising for the Mustang Classic and other band needs.  Instructions on how to act guidelines for asking for donations have been given to all students.

Mustang Classic will be on October 8th.  Ads are being collected for the program at this time.  Many volunteers are needed for this event and a sign-up sheet will be available at the end of the meeting.

Miss Davis is in the process of getting her CDL license.  She will need a parent to volunteer to chaperone on the bus trips when she drives.

Mustang Regiment practice will be every Tuesday and Thursday from 3:00 p.m. until 6:00 p.m.

Band patches have been ordered for students that participated in Mustang Regiment, Concert Band, Wind Ensemble and Jazz Band for the past year.  Pick up information will be announced when the patches are in.

East Rowan/Erwin Band Boosters Meeting August 9, 2011 (cont.)

 

The band share fees for this year are $200.00 per student.  The first $75.00 is due on August 10th, the second $75.00 is due on August 25th and the final payment of $50.00 is due on September 16th.  If you have any problems in paying the band fees, please contact Miss Davis.

Questions were brought up regarding the by-laws of the Band Boosters.  Assistant Principal Shannon Long volunteered to review these by-laws prior to the next meeting.  A motion was made, seconded and approved for Ms. Turner to review these documents.

The next band boosters meeting will be on September 13, 2011 at 6:30 p.m. in the Erwin Band room.

There being no further business, a motion was made, seconded and approved to adjourn.
